Onboarding walkthrough

The onboarding wizard runs once after your first sign-in. It takes about two minutes and sets up everything you need to start monitoring sites.

Step 1 — Your name

Enter your first name and last name. This is how you'll appear to team members in workspaces you share.

Step 2 — Organisation

Your organisation is the top-level container for everything in Flowpane. For agencies, this is typically your agency name.

  • Organisation name — your company or agency name
  • Recorded region — metadata only; this does not select physical storage or processing location

Step 3 — Workspace

A workspace is a group of sites. Many agencies create one workspace per client, or one per team.

  • Workspace name — give it a descriptive name (e.g. "Acme Corp Sites" or "UK Client Portfolio")

You can create additional workspaces later from the workspace switcher in the top bar.

Step 4 — Add sites

Enter the URLs of sites you want to monitor. You can add one or many.

  • Type or paste a URL and press Enter to add it
  • Flowpane accepts URLs with or without https:// — it normalises them automatically
  • Add up to your plan's site limit (1 on Free, 3 on Starter, 10 on Pro, etc.)

Don't worry about getting every site in now — you can always add more later.

Step 5 — Invite team members

Optionally invite colleagues to your workspace. Enter their email addresses and assign a role:

  • Viewer — can see check results but can't run checks or edit anything
  • Editor — can create/edit Sites, run checks, and edit drafts
  • Reviewer — can approve or reject work without editing it
  • Publisher — can publish approved work without approving it
  • Admin — full control including team management and workspace settings

Invitations are persisted after account activation and then sent through the shared Workspace invitation delivery path. If delivery fails, Flowpane reports that partial outcome rather than pretending the invitation was not created. Recipients can accept after signing in or creating an account, but the authenticated email must match the invitation.

You can skip this step and invite people later.

Step 6 — Activate your account

Review the Free plan used for independent signup and activate your account. Plan authority is resolved by Flowpane on the server; the browser cannot submit or override a plan during activation.

After onboarding

Once you complete the wizard:

  1. Your account, Organisation, and initial Workspace are activated atomically.
  2. Optional Sites are created afterward. If some cannot be created, the completion screen keeps your activated account and shows the created/already-present/failed counts.
  3. Each new Site remains pending until you prove ownership with File, DNS TXT, or Meta verification.
  4. Successful verification schedules one initial governance opportunity. The Site remains Pending in the list until a run reaches a completed or failed outcome, then becomes Active.
  5. You're taken to your Workspace dashboard where results will appear.

Free includes one automatic first-check opportunity after verification, but no recurring monitoring. Check the status shown in Flowpane: Waiting to start or Needs attention does not promise a completion time. You can run a check manually.
